BookSnappa is a bookkeeping assistant for small businesses in Jamaica, operated by Vilini & Co (registered business no. 11301/2026, Jamaica). You send photos of receipts and business documents over WhatsApp; we read them, organise them, and give you back a summary. This policy explains exactly what we collect, why, who else sees it, and how to get it deleted.

What we collect

Your WhatsApp phone number. It is how your records are identified — there is no username or password.
The photos, files and messages you send us, including receipts, invoices, petty cash vouchers, timesheets and point-of-sale exports.
The information read from those documents — vendor, date, amount, tax, category, line items.
Your business name, and an email address only if you choose to give us one.
Usage records — how many documents you have sent, and when.

We do not ask for, and do not want, your bank login, card numbers, or any government identification.

Why we hold it

Solely to provide the service you asked for: reading your documents, producing your reports and profit statements, applying your plan's monthly allowance, and answering you when you write to us. We do not use your business records to advertise to you, and we do not sell them to anyone.

Who else processes it

We use a small number of providers, each doing one job:

Meta (WhatsApp Business Platform) — carries the messages between you and us.
Google (Gemini API) — reads the text out of your document images. Images and their contents are sent to Google for that purpose.
Stripe — handles subscription payments if you take a paid plan. Card details go to Stripe directly; we never see or store them.
Our own server, hosted in Germany, where your records are stored.

We do not share your data with any other business, and never with other BookSnappa customers.

How long we keep it

We keep your records for as long as you use BookSnappa, so your reports stay complete. Jamaican businesses are generally required to retain accounting records for six years, so we do not delete anything automatically — you decide when it goes. If you ask us to delete, we delete.

Getting your data, or deleting it

To delete everything: message +1 876 319 6734 on WhatsApp with the word DELETE, or email tashomavilini31@gmail.com from the address you registered. We remove your records, the documents you sent, and your account within 30 days, and confirm when it is done.

You can also ask for a copy of everything we hold on you, ask us to correct anything that is wrong, or withdraw from the service at any time. Correcting an individual record is instant — reply to any message from BookSnappa and tell us what is wrong.

Security

Traffic to our server is encrypted in transit. Access to the server is restricted to the operator. We are a small operation and do not claim bank-grade security: please do not send us documents you would not be willing to hand to a bookkeeper.

Children

BookSnappa is a business tool and is not intended for anyone under 18.

Changes

If this policy changes materially we will say so in the app before the change takes effect.
